Invite your team and assign roles

This is chapter 3 of the Organization track. You're verified, signed in, and looking at an empty dashboard. Before you install a single agent, take five minutes to invite the people who will run Zyra with you.

Time: about 5 minutes plus however long your teammates take to accept. Prerequisites: the email addresses of the people you want to add, and an idea of what each one needs to do.

Why invite before installing anything

It is tempting to install the agent first and worry about teammates later. Don't. Two reasons:

  1. A second admin is cheap insurance. If your laptop is lost or your account is locked, another admin can recover access without involving Zyra support.
  2. Regional admins reduce friction. If Zyra is going to run in multiple sites, give each site lead admin rights before they install — they can self-serve their region's devices instead of waiting on you.

Even if you're evaluating Zyra solo, add one trusted colleague as a backup admin now.

Step 1 — Open the Members page

In the left sidebar, click Settings, then Organization, then Members. The page lists every user attached to your organization and every pending invitation.

Click the Invite member button in the top-right corner. A side panel opens.

Step 2 — Fill in the invitation

You need three things per invite:

  • Email address. Where the invitation link is sent. Must be a valid email.
  • Full name. Shown in the audit log and member list. Helps your team find each other.
  • Role. What this person is allowed to do. Pick from the table below.

Roles available today

Zyra ships with three built-in invitation types and a Custom Roles system for finer-grained access.

For tighter access — read-only viewers, billing-only finance reviewers, support-tier roles — open Settings → Roles → Custom roles and define a role with exactly the permissions you want, then invite the user and pick that custom role.

Tip. Start with one Super Admin (you), one or two Organization Admins, and Members for everyone else. Add custom roles only when you hit a permission you wish you could split.

Step 3 — Send the invitation

Click Send invitation. Three things happen:

  1. The invitee receives an email with a one-time acceptance link.
  2. The Members list shows a Pending row for the new email.
  3. The audit log records who sent which invite to whom.

The invitation link is valid for 72 hours. After that it expires and you'll need to resend. You can revoke a pending invite any time from the same panel.

Step 4 — What the invitee sees

The invitee clicks the link, lands on app.getzyra.io/accept-invitation?token=…, sees your organization name and the role you assigned, and chooses their own password (minimum 12 characters, same rules as your signup). They never see your password and you never see theirs.

After acceptance, the Pending row converts to an Active member and they're signed in.

What just happened

You have at least one backup admin and a clear picture of who can do what. The audit log has a tidy trail of every invite, accept, and role change. You're ready to install agents knowing the rest of the team can pick up where you stop.

Troubleshooting

  • Invite email didn't arrive. Same fixes as your own verification email — see chapter 2.
  • "User already exists" error. That email is already attached to another Zyra organization. Ask your teammate to use a different email or contact hello@getzyra.io.
  • Need to change someone's role. Open the member row, click the role dropdown, pick the new role. Takes effect in under 30 seconds.
